How to configure "Email Templates" and "Email Notifications"

Generally, ITSM uses predefined templates to send automated emails to the users upon account activations, device enrollments, password resets, email notification and device enrollment via active directory. Administrators can customize this templates based on their requirements. ITSM settings can also be configured to send alert emails to the selected administrators and users upon events like detection and infection iOS and Mac OS devices.

 

1) The configuration of "Email Templates"

 

Go to ITSM→ Settings, under drop down select System Templates and click "Email Templates" tab.

 

 

Parameters of column headers

Name

 Displays the name of the email template

Subject

 Displays the subject line of the email

Included Variables 

 Displays the variables contained in the email, with their values

 

Steps to edit the email template,

  1. Click on the type of template under name column in which you want to edit.
  2. The template editor will be displayed.
  3. Click the "Edit" button on the top right to edit the subject line and the message.
  4. The 'Email Editor' window will open.
  5. Now you can edit the subject line and email content of the template as per your requirements and insert the variables available in the toolbar wherever required.
  6. Finally, Click "Save" button to apply the changes.

2) The configuration of "Email Notifications"

 

The interface contains two tabs,

  • Send To – Allows to configure the alert recipients email addresses
  • Alerts – Allows to configure the type of alert for which the email notifications will be sent

i) To configure email alert recipients

Step[1]: Go to ITSM → Settings→ System Templates→Email notifications→ send to.

Click "Edit" button on the top right corner to add new recipients and to edit the current details.

 

Step[2]: Select/deselect the checkboxes to enable/disable the alerts to be sent

  • ITSM Administrators - If it is enabled, the alerts will be sent to all ITSM administrators
  • Send to Email List - If it is enabled, you can add the email addresses to the 'Emails List' and the alerts will be sent to selected recipients
  • Send to User List - If it is enabled, you can add the users to the 'Users List' and the alerts will be sent to the selected recipients

Click on "Save" button for the changes to take effect

ii) To configure alert settings

Step[1]: Go to ITSM → Settings→ System Templates→Email notifications→ Alert

Click "edit" button on the top right corner to enable/disable the type of alert.

 

Step[2]: Select/deselect the checkboxes to enable/disable the alerts to be sent

  • New Infection Detected - If it is enabled, an alert will be sent if a new malware is detected at an endpoint
  • iOS Device Removal Detected – If it is enabled, an alert will be sent if an iOS device is removed from ITSM
  • OS Device Removal Detected – If it is enabled, an alert will be sent if an OS Mac device is removed from ITSM

Click on "Save" button for the changes to take effect.
